Client record overview

Account records consolidate critical information about each account in browsable modules, making it easy to review account details and take action on collection procedures. Select any account from the Accounts page to open its account record.

Navigation: Accounts → select an account name.

Procedure Timeline

Shows the current, past, and upcoming steps of the account’s collections process, including secondary or tertiary procedures associated with the account. From the timeline, you can take the following actions:

  • Enrol the account in a manual procedure not driven by automation
  • Export account data for hand-off to a third-party collection agency
  • Block the account
  • Delete the account

Account Overview Modules

  • General information displays quick-reference facts about the account, such as its primary procedure, credit limit, and days of availability.
  • Team shows the collection agent(s) assigned to the account. This information must be shared with Billtrust during implementation to enable the module.
  • Contact information shows the account’s address, phone number(s), email address, and preferred language.
  • Account information shows financial data such as credit limit, outstanding balance, open orders, sales YTD, and account longevity.

Account Activity

  • BT Collections score shows the account’s estimated creditworthiness on a scale of 0-100. This add-on is only available in the EU and must be configured during implementation.
  • Actions show active and upcoming procedure steps. You can process workspace list actions directly from this module - for example, sending payment reminders or processing warnings. See Process Workspace and Payment Plan Lists.
  • History shows a record of actions performed by you or a team member, including any notes left about the account.

Payment Details

  • Payment behaviors shows patterns in how the account pays its invoices - for example, the average number of days before payment, actions that successfully promote payment, and divergence from normal payment routines.
  • Summary shows the account’s outstanding balance, amounts overdue by aging bucket, and disputes if any.

Outstanding Documents

This section of the account record contains tables that group documents by status. If you have documents in procedure, you will see a Procedure table. If you have documents in dispute, you will see a Dispute table, and so forth.

Use these tables to identify and take appropriate action on outstanding documents. See Change Document Status for details on managing document statuses.

Frequently Asked Questions

How is average payment behavior calculated?

Average payment behavior, located in the Payment behavior module, is calculated as the difference in days between the invoice date and the paid date of each invoice in the archive. The calculation does not apply to payments and credit notes. All days are added together and divided by the number of invoices in the archive.

You can alter this calculation in one of two ways:

  • Use a specified date range instead of all documents in the archive - restrict the calculation to documents archived within a time frame you define.
  • Substitute the archived date for the paid date - if your exported data does not contain a paid_at_date tag for each archived document, paid_at_date will always be empty and the calculation will fail. Collections can automatically substitute the archived date for the paid date to resolve this.

Contact the Billtrust Support team if you want to implement either option.
