Worksheet overview
The Worksheet is the central workspace in Collections where collectors reduce DSO by sending reminders, making phone calls, and following up on payment promises. The Worksheet keeps collectors organized by sorting to-do items into lists. Based on their roles and responsibilities, collectors see one or more of these lists in their workspace.
Note: Select a list title to expand or collapse it in the workspace.
Worksheet Lists
| List Type | Description |
|---|---|
| Workspace lists | Shows communications that collectors are expected to send each day - for example, payment reminders and direct debit warnings. Communications are grouped by message content and sent by email, text message, or postal mail. |
| Telephone lists | Shows phone calls that collectors are expected to make each day. Calls are grouped by subject matter and prioritized by urgency - for example, first, second, and third calls. Collectors make calls over VOIP and can use AI-powered features that enhance case knowledge and streamline follow-up actions. |
| Payment plan lists | Similar to Workspace lists but specific to accounts on payment plans. Communications are grouped by message content and sent by text message or email. |
| Tracking lists | Help you monitor critical collections events determined by your debt-collection operations - for example, broken payment promises, missing payment plan instalments, and dispute write-offs. |
| Tasks | Reminders to perform certain actions. Collectors can create tasks for themselves or delegate tasks to colleagues. |
Import Data Panel
The Import data panel in the lower left corner of the Worksheet shows the status of your data.
- Select Summary to see the number of active accounts and a count of all documents associated with those accounts.
- Select All import data to see a log of all imports and exports.
About the Import Process
Billtrust extracts data from your accounting software, builds export files in XML format, and uploads them to your Collections environment on an agreed schedule.
If an import or export process fails, a red X icon appears next to that run in the import log. A green checkmark indicates the run completed successfully. If you see a red X, check the timestamp to confirm whether the synchronization occurred at every agreed time in your import schedule.
Note: Amber warning indicators may also appear for non-blocking anomalies - for example, when active document counts fluctuate sharply across runs or when missing parent records are skipped without failing the entire import. These do not indicate a full import failure.
